Speed opens the conversation
A quick acknowledgement lets someone know their enquiry has arrived. But “we’ll be in touch” doesn’t answer their question or help them decide what to do next. The useful measure is whether the conversation progresses.
Give the reply a purpose
An effective first response should acknowledge the request, answer what it can from approved information, and ask one relevant next question. A long questionnaire can create just as much friction as a slow reply.
Measure the whole journey
Track first response time alongside replies received, suitable enquiries, appointments requested and completed handovers. Compare like-for-like periods and account for changes in lead sources or enquiry volume. A faster response alone is not proof of extra revenue.
Start with one workflow
Pick a common enquiry type and define what a good outcome looks like. Test ordinary questions, unclear questions and requests the system must hand to a person. Improve that journey before adding channels.
